When we talk about “Schoolyear,” “we,” “our,” or “us” in this policy, we are referring to Schoolyear, the company which provides the Services. When we talk about the “Services” in this policy, we are referring to our software application for secure testing.

This Privacy Policy (“Privacy Policy”) is incorporated into and subject to our Terms of Service and, if applicable, the terms of your Agreement with us. Any terms not defined herein are defined in our Terms of Service or our Agreement.

B. Policy Updates
We may change this policy from time to time, and if we do we will post any changes on this page. Your continued use of the Services and/or continued provision of Personally Information to us will be subject to the terms of the then-current Privacy Policy.
C.Personal (identifialble) Information

Personal Information is a name, (campus) email address, student identification number, online identifier, and other data collected that could directly or indirectly identify you.

We do not consider personal information to include information that has been anonymized or aggregated so that it can no longer be used to identify a specific natural person, whether in combination with other information or otherwise.


D. Scope

Any content you provide to Schoolyear will be subject to this Privacy Policy, this include our collection of your information, and the forwarding of such information to your institution, university, college, school, or organization (collectively, "Institution"). You understand that through your use of the Services you consent to the collection and forwarding (as set forth in this Privacy Policy) of this information, including the transfer of this information to your college, university, instructor, school or organization.

Schoolyear will take appropriate measures to maintain the security and confidentiality of your information.This means that we limit employee access to your information to only those employees who need the information to fulfil their job responsibilities.


E. Information collection and use

To use the Services we may be required to collect personally identifiable information, such as your name, email address, and institution name. By accessing or using the Services, we might collect additional data as set forth below. All student records obtained by Schoolyear from an Institution are the property of and are under the control of that Institution. Note: Under no circumstances will this information be sold, rent or otherwise shared to third parties for their marketing and targeted advertising purposes.

Account creation information:
To register an Institution to use the Schoolyear, a teacher account must be created. To register this account, personal information (such as name, Institution name, email address, and other billing information), must be provided.

Communication with Customer Support:
To request a demonstration or by support of our onboarding manager, personal information (such as name, phone number, job title, Institution name, and campus email address), must be provided.

Communication with Technical Support:
To offer technical support to Institutions we collect personal information (such as name, phone number, job title, Institution name, and campus email address), to facilitate you during the use of the Services.

Schoolyear Exams environment:
  • Performance of the Service:
    When you use our Service (only during an exam), we collect additional information to ensure necessary and optimal performance of the Services. The types of information collected contain both device information and proctor log data which may include: language preferences, IP address, type of operating system, crash and error data, browser type, battery level and Wifi connection.
  • Identification:
    we collect data to identify the student by their name and student ID number.
  • Fraud detection:
    We may collect data to the detection of fraud and abuse of our Service. Type of information collected may include: navigation between pages and websites within Schoolyear’s environment, the use of short-key combinations and other data required to detect and report suspicious actions.
  • Time status control:
    We collect data for time status control, to check whether the student started and completed the test within the predefined time frame.

F. Our Cookie policy

Like many websites, Schoolyear uses "Cookie" technology to collect additional website usage data to improve our Services, but we do not require cookies to use our webpage. Schoolyear may use both session cookies and persistent cookies to estimate the number of visitors to the site, to measure general traffic routing patterns and to improve your user experience with our Service. You can instruct your browser, by editing its options, to stop accepting cookies or to prompt you before accepting a cookie from the websites you visit.


G. Sharing data

Schoolyear does not sell, rent, or otherwise disclose your personal information to third parties for their marketing and advertising purposes.


H. Retention

Schoolyear will store and maintain institutional data for up to 30 days after the termination of an applicable agreement, unless otherwise specified. When your Institution deletes the data we will permanently delete all related data from Schoolyear's systems within 30 days.


I. Security

Schoolyear takes industry accepted security measures to protect your personal data against loss and any form of unlawful processing. In addition, Schoolyear is screened annually and a processor agreement has been concluded with your institution to guarantee your personal data is safe.


J. Children's information

Our Services are not directed to children under 13. If you have any information a child under 13 has provided us with personal information without consent, please contact us via Team@schoolyear.nl
